Volunteer and Outreach Coordinator

 

The Volunteer and Outreach Coordinator manages all aspects of the volunteer program at Breakthrough with the goal of maximizing the potential of volunteers, interns and partners to increase the efficiency and effectiveness of the organization. The Volunteer and Outreach Coordinator is responsible for identifying organizational needs that can be met with volunteers; recruitment, screening, training, supervision, and scheduling of volunteers; matching volunteers to appropriate tasks and roles; and collecting information and reporting on the results of volunteer and outreach activities.

While reporting to the Executive Director, the Volunteer and Outreach Coordinator will collaborate extensively with the Director of Operations, Director of Programs, as well as program and development team members.

 

Principal duties and responsibilities may include

 

  • Work with staff to identify and clearly communicate organizational needs that can be met with the use of volunteers and interns. Work with staff to anticipate upcoming needs and opportunities.
  • Recruiting volunteers through attendance at fairs, media outreach, and working with community partners.  Communicate promptly with every person who expresses an interest in volunteering.
  • Screen volunteers by conducting background checks and checking references
  • Provide orientation and training for volunteers related to their responsibilities.  Create and update orientation and training materials.
  • Serve as a liaison between staff members and volunteers. Match volunteers to appropriate tasks and team members based upon organizational needs and volunteer interest and capacity.
  • Communicate regularly with volunteers and staff members to ensure that organizational and volunteer needs are being met. Adjust roles and responsibilities as appropriate.
  • Manage collection and reporting of volunteer hours and activities. Ensure volunteer registry is up-to-date and volunteer timesheets are complete. Create reports regarding volunteer and outreach results. 
  •  Assess volunteer and outreach systems, activities, and results and make recommendations for improvement.
  • Lead volunteer appreciation efforts.
  • Engage Breakthrough families is volunteer activities.
  • Other duties as assigned

 

 

Qualifications

 

  • Excellent written, verbal, visual and communication skills
  • Ability to communicate effectively with fellow staff members; volunteers; community partners (individual, corporate, foundation and government); students and families.
  • Tech savvy; expertise in Word, Excel, PowerPoint, e-newsletter production programs, website editing and design, databases, and ability to quickly learn and master new programs
  • Well-organized, systematic thinker with strong attention to detail
  • Event and project coordination experience
  • Disciplined, strong work ethic
  • Prior experience with volunteers and knowledge of the Austin community preferred
  • B.A., B.S., or equivalent degree
  • Spanish bilingual strongly preferred
  • Commitment to the mission and values of the organization

 

Supervision

  • The Volunteer and Outreach Coordinator will report to the Executive Director.

 

HOURS

  • Breakthrough is a fast-paced, needs-responsive environment.  While office hours may be flexible, full-time employees work more than 40 hours per week on a regular basis
  • Some evenings and weekends will be required

Program Coordinator/Case Manager

Breakthrough Austin seeks a talented, enthusiastic, and bilingual program team member who will work collaboratively with the Breakthrough team to design, manage, and deliver program activities that are aligned to best practices in the field of youth development, education, and college readiness.  The Coordinator will also establish and maintain contacts with students, school personnel, parents, and Breakthrough staff in an effort to provide a high quality academic and enriching college-access program.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Design, plan and lead programs to deliver high quality and engaging academic and enrichment     activities
  • Develop and maintain relationships with a diverse group of low-income, middle and high school students and families
  • Advise students in choosing and gaining entrance into college preparatory courses; monitor and ensure rigorous course placement and academic success
  • Identify critical needs of students and provide timely and appropriate interventions and/or refer students/families to community resources as needed
  • Identify and coordinate summer leadership opportunities for students
  • Maintain contact with all students’ teachers and develop relationships with appropriate school officials
  • Meet and communicate regularly with parents/families on student progress, including conducting regular student/family conferences
  • Meet regularly and work collaboratively with other staff members and volunteers in order to support students and families
  • Support program evaluation efforts and make continuous program improvements to achieve outcomes
  • Maintain individual student records in an effort to monitor educational progress and personal growth
  • Support and manage volunteers and service providers, including tutors, mentors, counselors, etc.
  • Share in the supervision of after-school homework help and tutoring
  • Perform other duties as required

 

QUALIFICATIONS:

  • Strong commitment to the mission and values of the organization
  • Bachelors’ degree from an accredited four-year university 
  • Spanish bilingual required
  • Excellent verbal, written and visual communication skills
  • Ability to work with and motivate a broad spectrum of people (ethnic, socioeconomic, educational, professional, and generational)
  • Ability to advocate effectively while maintaining positive working relationships
  • Ability to work both collaboratively as part of a team effort and independently with minimal supervision
  • Willingness and ability to take initiative as appropriate
  • Strong desire to learn and grow professionally
  • Highly organized with the ability to multi-task and deliver commitments in a timely manner
  • Disciplined, strong work ethic and comfort with working non-standard hours (weekends and evenings)
  • Proficiency in the use of the computer, with expertise in MS Word, PowerPoint, and Excel
  • 2+ years of teaching experience or equivalent work experience preferred
